INDUSTRY ANALYSIS

No matching finance records?
Ask what the search covered

An assistant reports no matching finance records. A reviewer then sees a successful indexing run. Those observations still leave a practical question unanswered: did the search cover the relevant material? Microsoft's Azure AI Search documentation shows why the answer needs a connected evidence record, from query conditions to source ingestion and document errors, rather than a reassuring status label.

AT A GLANCE

An empty result
Needs a coverage record

Evaluation scope

Preserve the actual query, destination index, selected fields, filters, time and authorized access context. An assistant's wording alone does not identify what was searched.

Comparable evidence

Connect the queried index to its configured sources, field mappings and relevant processing. A source connection or refresh schedule does not establish that particular records arrived.

Review ownership

Ask the technical owner for the relevant execution details and unresolved document problems. A successful run can contain document errors; an available indexer need not be executing.

Acceptance decision

Let the responsible reviewer interpret the bounded observation. Keep missing coverage evidence explicit instead of turning no matches into a finding that records do not exist.

WHAT TO CHECK

Start with the request
Not the assistant's conclusion

Suppose a finance reviewer asks about records for a reporting period and receives no matches. Before interpreting that answer, identify the request actually sent to search. Our proposed review record includes the index identity, query form, searched fields, selection conditions, request time and authorized access context. Preserve the returned observation separately from the assistant's explanation. Microsoft's Text Query Filters page focuses on keyword search. It describes filters as value-based conditions that qualify indexed documents. With search terms, the conditions narrow the material searched; without search terms, a filter can supply the selection criteria itself. An empty result does not reveal which condition prevented a match.

Literal text equality is also different from full-text search, which analyzes words. Microsoft says text equality filters do not break text into words and are case-sensitive by default; a configured normalizer can change case behavior. Numeric fields require filters for numeric selection rather than individual full-text searching. These distinctions make query form part of the evidence, not an implementation detail to discard. They do not establish identical behavior for vector or semantic search. Record any permission-related conditions only through authorized evidence. A string filter is not, by itself, proof of secure access enforcement, and missing results are not a reason to broaden access.

WHAT TO CHECK

Follow the index upstream
Configuration is not arrival

Microsoft describes an indexer as a pull-ingestion mechanism: it reads a configured source and populates a destination index. Several indexers can contribute to one index, including different fields. Ask which sources and indexers are relevant, rather than assuming one successful job accounts for the whole collection. The path includes content extraction, source-to-index field mappings and optional enrichment. Transformed content needs output field mappings to reach index fields. A record available upstream therefore does not, on that fact alone, establish that the relevant content reached the field being searched. Refresh evidence is source-dependent too. The overview says blob change detection is automatic, while sources such as Azure SQL and Azure Cosmos DB require it to be enabled. An on-demand run or schedule describes how processing can begin, not proof of a completed refresh. This account concerns configured indexers; it is not a description of every implementation that pushes data into an index.

A proposed review order for an empty result

  1. Preserve the search
  2. Map the input path
  3. Inspect the relevant run
  4. Record limits or hold

Keep the result, actual query, index, fields, conditions, time and authorized access context together.

Identify configured sources, relevant indexers, field mappings and any transformations feeding the searched fields.

Distinguish availability from execution. Check run times, document failures and warnings; keep freshness gaps explicit.

State what the observed search supports. Assign unresolved coverage questions without inferring that records do not exist.

Start with the observed search, trace its configured input path, inspect relevant execution evidence, then record what the result supports or what remains open. This is a reading aid, not a provider-enforced workflow, completed audit or proof that records are absent.
WHAT TO CHECK

Read the execution details
Success can include document errors

The monitoring page supplies the critical qualification: a run can succeed despite individual document errors when their number stays below the configured Max failed items setting. A success label therefore cannot replace inspection of the relevant run's document failures, errors and warnings. Warnings need interpretation; Microsoft notes that they do not always indicate a problem. There are also two levels of status. At the indexer level, running means configured and available to run, not necessarily executing. A particular run has its own execution status. Ask for its start and end times, processed and failed counts, and detailed exceptions, connected to the queried index and relevant sources. Timing limits matter. Portal views refresh periodically, and execution history contains only the most recent runs, up to fifty. Ask what evidence covers the period relevant to the query. A newer success badge or an aggregate document count cannot identify whether every relevant record was included.

WHAT TO CHECK

Hand over a bounded finding
Leave unresolved coverage visible

We propose a compact search-coverage record joining three things: the observed request and result; the configured source, field and transformation path; and relevant execution evidence with unresolved exceptions. Where a link is unavailable, identify the gap and its owner instead of filling it with an assumption. Technical owners explain retrieval and ingestion; the responsible finance reviewer decides what the observation supports for the task. For an authorized evaluation, ask how the handoff represents an empty result, a successful run with document errors, and missing evidence about a refresh. These are proposed review cases, not tests performed here or vendor-mandated procedures. No record is assumed to exist or to have failed ingestion. A defensible handoff can say that a specified search returned no matches while coverage remains unresolved. It should not silently replace that statement with records do not exist. The useful buying question is whether a reviewer can trace the search's reach and limits without guessing.

These document dates establish neither a capability launch nor a business-effective date. No endpoint, access behavior or indexing run was tested. Historical sample logs are not current observations. No comprehensive revision or correction search was performed; actual settings and coverage remain unknown. This is not accounting, legal or security assurance.
